Privacy Policy
This Privacy Policy explains how GrantProf collects, uses, stores, and protects the information you share with us. We built this product for students and families, and we treat your information the way we would want ours treated.
Our core promises, up front:
- We do not sell your data to anyone. Ever.
- We do not share your data with student loan companies, lenders, or financial advertisers.
- We do not run a marketing funnel to push loans, services, or products at you after you use GrantProf.
- You can request deletion of your data at any time, and we will delete it.
1. Who we are
GrantProf is operated by Amazica Holdings LLC, a Delaware limited liability company. When this Policy says "we," "us," or "GrantProf," we mean Amazica Holdings LLC operating the GrantProf service at grantprof.com.

2. What information we collect
2.1 Information you provide directly
To match you to scholarships and draft your applications, we ask you to share a comprehensive profile. This includes:
- Basic identification: name, email address, age, grade level, target colleges, intended major
- Academic information: GPA, standardized test scores, transcripts, course history, academic awards
- Activities and accomplishments: extracurriculars, leadership roles, work experience, community service, honors
- Demographic and identity information: race, ethnicity, gender, citizenship status, religious affiliation, sexual orientation, gender identity, disability status, military or veteran status, first-generation status — to the extent you choose to share these for matching to identity-specific scholarships
- Financial information: family income range, financial need indicators, Pell eligibility, household composition — used only for matching to need-based scholarships
- Family circumstances: parental education, family situation, relevant hardships — used only for matching to scholarships that consider these factors
- Writing samples: essays, personal statements, English class papers you upload to train our AI on your voice
- External profile information: LinkedIn URL and similar links you choose to share
- Recommendation letter contacts: names and email addresses of teachers, counselors, or mentors
- Payment information: processed by our payment partner Stripe; we do not store your full card number or banking details on our servers
- Parent or guardian information: name and email address if you enable the parent dashboard feature
2.2 Information we collect automatically
When you use our website and platform, we collect basic technical information:
- IP address and approximate location (city or region) for security and analytics
- Device type, browser type, and operating system
- Pages you visit, features you use, and timestamps
- Cookies and similar technologies — only the minimum required to keep you logged in and to remember your preferences
2.3 Information from scholarship sponsors
When you submit an application to a scholarship sponsor through our platform, the sponsor may share the outcome (awarded, rejected, finalist, etc.) with us. We log outcomes only to improve our matching engine and to display your wins on your dashboard.
3. How we use your information
We use the information we collect for the specific purposes of operating GrantProf:
- Scholarship matching. We use your profile information to identify scholarships you qualify for and to rank them by realistic odds of winning.
- Application drafting. Our AI uses your profile, writing samples, and the scholarship's specific prompt to generate essay outlines, talking points, and opening paragraphs in your voice that you then review and finalize.
- Voice training. Writing samples you upload are processed by our AI specifically to learn your voice patterns. We do not use your writing samples for any other purpose, and we do not share them with third parties or other users.
- Application management. We organize your application materials, track deadlines, and send you reminders.
- Account administration. We use your contact information to send service-related communications: deadline reminders, application status updates, payment receipts, important account notices.
- Customer support. If you contact us with a question or issue, we use your information to respond.
- Security and abuse prevention. We use technical information to protect your account and our service from unauthorized access or misuse.
- Service improvement. We analyze aggregate, de-identified usage patterns to improve matching accuracy, drafting quality, and user experience. We do not use individual student data to "train" models in a way that would expose your specific information.
4. How we use AI in your applications
GrantProf uses AI (currently Anthropic's Claude as our primary model, with OpenAI and Google models as fallbacks) to power scholarship matching and application drafting. Here is what you need to know:
The AI uses your profile and writing samples to generate drafts: essay outlines, talking points pulled from your real experiences, and opening paragraphs in your voice. You are responsible for reviewing, editing, and finalizing every word before submitting any application to a scholarship sponsor. The application is yours. The AI is a tool to help you start, not a ghostwriter that submits on your behalf.
Important — scholarship policies on AI: Some scholarship sponsors prohibit AI-written content in applications. Others permit it. Many are silent on the matter. You are responsible for understanding and complying with the AI policy of each scholarship you apply to. GrantProf provides the tool; you decide how to use it within each sponsor's rules.
5. Who we share information with
We share your information only in these limited circumstances:
- Service providers who help us operate. We use vendors for hosting (Bluehost and other infrastructure providers), payments (Stripe), email delivery (Resend or equivalent), file storage (Amazon S3 or equivalent), and AI model providers (Anthropic, OpenAI, Google). These vendors process your information only on our behalf, only for the specific purpose we engage them for, and they are bound by confidentiality and data protection requirements.
- Scholarship sponsors, when you apply. When you submit an application to a scholarship sponsor through our platform, we transmit your application materials to that sponsor as you direct. After that point, your information is also handled by the sponsor under their own privacy policy.
- Legal requirements. If we are legally required to share information (court order, valid subpoena, etc.), we will do so. We will notify you when we can.
- Business transfers. If GrantProf is ever sold or merged, your information may transfer to the acquiring entity, which would be bound by this Policy or a successor policy with at least equivalent protections.
We do not share, sell, rent, or trade your information with:
- Student loan companies or lenders of any kind
- Advertisers or ad networks
- Data brokers
- Marketing companies
- Anyone else not listed above
6. Special protections for minors
GrantProf is designed for students applying to scholarships, including high school seniors who may be under 18 years old. We take additional care with information from users under 18:
- If you are under 13, do not use GrantProf or provide any information to us. We do not knowingly collect information from children under 13. If we learn we have collected information from a child under 13, we will delete it promptly.
- If you are between 13 and 17, we encourage you to enable the parent dashboard feature so a parent or guardian can have visibility into your scholarship application process. We may require parent or guardian email confirmation before processing certain actions for users under 18.
- We comply with the Children's Online Privacy Protection Act (COPPA) and applicable state laws regarding minors' data.
- We comply with the Family Educational Rights and Privacy Act (FERPA) where applicable to educational records you share with us.
7. How we protect your information
We use industry-standard security measures to protect your information:
- All data transmission between your browser and our servers is encrypted via HTTPS
- Stored data is encrypted at rest where supported by our infrastructure providers
- Access to user data within our team is limited to personnel who need it to operate the service
- We use bcrypt or equivalent secure hashing for password storage — we never store passwords in plain text
- Payment card information is processed and stored by Stripe, not on our servers
- We conduct regular security reviews of our infrastructure
No system is perfectly secure. While we work hard to protect your information, we cannot guarantee absolute security. We will notify you and applicable authorities of any data breach as required by law.
8. How long we keep your information
We keep your information for as long as your account is active and for a reasonable period after to support customer service, legal compliance, and business records. Specifically:
- Active accounts: information retained while your access period is active (typically one academic year per purchase)
- Expired accounts: profile data retained for 24 months after expiration to allow easy renewal; deleted thereafter unless you request earlier deletion
- Payment records: retained for 7 years for tax and accounting purposes per applicable law
- Service communications: retained for 24 months
You can request earlier deletion at any time via Section 9.
9. Your rights and choices
You have the right to:
- Access your data. View everything we have collected about you via your account dashboard.
- Correct your data. Update or correct any information through your profile settings.
- Delete your data. Request full deletion of your account and associated data. Email info@grantprof.com with the subject "Data Deletion Request" and we will process within 30 days.
- Export your data. Request a copy of your data in a portable format. Email info@grantprof.com with the subject "Data Export Request."
- Opt out of marketing. Service-related emails (deadlines, application status) are essential to GrantProf operation and cannot be opted out without closing your account. Optional marketing emails (product updates, tips) can be opted out via the unsubscribe link in any such email or in your account settings.
- Withdraw consent. Where we rely on your consent to process information (such as identity-based scholarship matching), you can withdraw consent at any time through your account settings.
For California residents: the California Consumer Privacy Act (CCPA) and California Privacy Rights Act (CPRA) grant you additional rights, including the right to know what categories of personal information we have collected, the right to delete, and the right to opt out of sale (which is moot for GrantProf because we do not sell data). For European residents: while GrantProf is a US-based service, if you are accessing from the European Union or United Kingdom, you have rights under GDPR including access, rectification, erasure, restriction, portability, and objection. Contact us as above to exercise these rights.
10. Cookies and tracking
We use the minimum cookies necessary to operate the service:
- Essential cookies: required to keep you logged in, remember your preferences, and protect against abuse. Cannot be disabled without breaking the service.
- Analytics cookies: we use basic, privacy-respecting analytics (such as Plausible or self-hosted analytics) to understand aggregate usage. We do not use Google Analytics or other tracking platforms that build user profiles for advertising.
We do not use third-party advertising cookies, retargeting pixels, or cross-site tracking technologies.
11. Changes to this Policy
We may update this Policy from time to time. If we make material changes, we will notify you by email and post a prominent notice on the site at least 14 days before the changes take effect. Continued use of GrantProf after the effective date constitutes acceptance of the updated Policy.
